Issuance of PhD

Process

The process of issuing a PhD degree typically involves several stages of academic approval within a university. The procedures and entities responsible for granting academic approval may vary depending on the institution, but generally include the following key steps and authorities:

1. Supervisory Committee Approval

  • Role: The candidate's primary supervisor, along with a supervisory committee, plays a central role in guiding the student's research. The committee typically includes faculty members with expertise in the candidate's research area.
  • Procedure: The committee reviews the candidate's research progress regularly. Before the final submission of the thesis or dissertation, the committee must approve the work, ensuring it meets the academic standards of the department and university.

2. Departmental Approval

  • Role: The department or academic unit where the PhD candidate is enrolled has a significant role in the approval process.
  • Procedure: After the supervisory committee's approval, the candidate's thesis or dissertation is usually presented to the department. A defense or viva voce (oral examination) may be required, where the candidate defends their research before a panel of experts. Upon successful defense, the department recommends the candidate for the PhD degree.

3. External Examination

  • Role: Many universities require an external examiner, typically an expert from another institution, to review the thesis or dissertation.
  • Procedure: The external examiner provides an independent assessment of the candidate's work, ensuring it meets the standards of the academic discipline on an international level. The external examiner's approval is a critical step in the process.

4. Graduate School or Faculty Approval

  • Role: The university’s Graduate School or Faculty of Graduate Studies oversees the PhD programs and ensures that all academic requirements have been met.
  • Procedure: After departmental approval and a successful defense, the candidate’s work is reviewed by the Graduate School or Faculty. This body checks that all procedural requirements, including coursework, examinations, and research, have been completed. They then grant formal approval to proceed with the awarding of the degree.

5. University Senate or Academic Council Approval

  • Role: The final academic authority in many universities is the Senate or Academic Council, which includes senior faculty and university administrators.
  • Procedure: The Senate or Academic Council receives the recommendation from the Graduate School or Faculty and gives the final approval for the PhD degree to be conferred. This approval is typically a formality but is crucial as it represents the official recognition by the entire university.

6. Issuance of Degree

  • Role: After all approvals are in place, the university's Registrar’s Office is responsible for issuing the PhD degree certificate.
  • Procedure: The Registrar’s Office prepares and issues the official PhD degree certificate. The candidate's name is added to the university’s official records, and the degree is conferred, either at a formal graduation ceremony or in absentia.

Summary of Key Steps:

  1. Supervisory Committee Approval: Initial review and approval of the thesis/dissertation.
  2. Departmental Approval: Departmental review, defense, and recommendation.
  3. External Examination: Independent assessment by an external examiner.
  4. Graduate School/Faculty Approval: Final academic review and approval.
  5. Senate/Academic Council Approval: Formal university approval for degree conferral.
  6. Issuance of Degree: Preparation and issuance of the PhD certificate by the Registrar’s Office.

These steps ensure that the PhD awarded meets the highest academic standards and is recognized by the academic community worldwide.
